You can place orders electronically only when it is configured in your system. Electronic ordering for labs and radiology is individually configured. Please contact the InSync EMR Support for configuration.
To place an order electronically:
| 1. | In the charting elements ribbon, click Results/Orders Queue. The Results/Orders Queue screen is displayed. |
| 2. | Click Order Labs to place an order. The Lab Order screen is displayed. |
| 3. | In the Order Information section: |
| • | The configured Laboratory is auto-populated. |
| • | The Facility and the Ordering Provider are auto-populated based on the log-in details. Select another facility and ordering provider from the drop-down list if you wish. |
| • | The Order No. is auto-populated. This field is disabled. |
| • | The date and time of order is auto-populated. Change the date and time if you wish. |
| • | Select to whom you want to Assign To Do from the drop-down list. Once the order is assigned and saved, the user to whom the order is assigned to will receive a To Do with Subject Line as “Order.” The order can be placed by clicking Order. You can also click this icon to send To Do with high priority. |
| 4. | In the Billing Information section: |
| • | The Billing Type is auto-populated. Select the billing type from the drop-down list if you wish to change it. |
| • | The Primary Insurance, Secondary Insurance, and Tertiary Insurance details are auto-populated based on the details entered in the Insurance tab in Patient Information. |
| • | The Guarantor and the Relationship details are displayed. These fields are disabled. |
| 5. | In the Test Detail field, select the category from the drop-down list. The Favorite Test list is populated based on the category selected. |
Note: The Favorite Test list can be configured from the Administration > Lab Order or Administration > Treatment Plan > Labs > eLab Order section.
| 6. | Select the test(s) to be ordered from the Favorite Test section. The selected orders appear on the right side in the Test section. |
| 7. | If the test to be ordered is not there in the Favorite List section, start typing the test name in the Test field on the right side. Select a test to be ordered from the populated list. |
| 8. | In the Test section, do the following: |
| • | Hover mouse pointer over the icon to know when the test was ordered last time. In parenthesis, it will show the number of days for your ease. |
| • | Select the recommended diet plan from the drop-down list. |
| • | Select the location from where the specimen was collected from the patient. |
| • | Specify the urgency to perform the order being placed. |
| • | Start typing the diagnosis code in the ICD field which you want to associate with the lab order. Once the diagnosis is added, it is updated in the Diagnosis and Problem List screen. |
| • | To add a test to the provider’s favorite list, select the check box corresponding to the test and click the icon. |
| • | To remove a test, select the check box corresponding to the test and click the Remove icon . |
| 9. | Once all the necessary details are entered, do the following: |
| • | To save the order to place it in the future, click Save. These orders are displayed in the Unprocessed tab. |
| • | To place the order and print the order requisition, click Place Order & Print Requisition. |
| • | To place the order only, click Place Order. The order is placed successfully. |
Note: The placed order is updated in the Pending Orders tab on the Results/Orders Queue Screen with the Status as “Pending.” It is also updated in the Pending Services panel on the Facesheet screen.
| • | To clear out the entered details, click Cancel. |
| 10. | In the Pending Orders tab, a list of placed orders (electronically and manually) is displayed. |
| • | Click the icon corresponding to the test. |
| o | Enter the remarks in Remarks field. Click the icon to add a macro, if configured. For details on configuration, refer to the Macro Configuration section in Administration. |
| o | Enter the Notes, if any, and select the Assign To Do from the drop-down list. Once assigned and saved with Notes, the user whom it is assigned to receives a To Do with the notes attached. |
| o | Select the Status from the drop-down list. Once the status is change to Reviewed, Completed, or Performed, the order is moved to the Results tab. |
| o | Select the Reviewed by from the drop-down list. |
| • | Click Add Result to add a result manually. This link is not displayed for electronic orders. |
| • | Click Attach to attach a relevant document, if needed. Once the relevant document is attached for orders added manually, it is moved to the Results tab. |
| • | Click the icon, below the Label column, to view or print the specimen label. |
| • | Click the icon, below the Requisition column, to view or print the order requisition. |
| • | Click the icon, below the ABN Report, to view or print the advance beneficiary notice. |
| • | Click the icon to view the details such as Created By, Created On, Modified By, and Modified On. |
Notes:
| • | On the Results/Orders Queue screen, select the Category as Radiology from the drop-down list. Click Order Radiology and follow similar steps to place an order for a radiology test. |
